Does your women’s ministry have the roles written out for clarity? Women’s ministries play a vital role in churches and in the community. In church settings, women’s ministries provide spiritual guidance. They offer encouragement and fellowship opportunities. They also support the women members of the congregation. In this post, you’ll find a PDF of women’s ministry roles. Prepare to read a little.

First, create a womens ministry vision and goals before drafting womens ministry roles.

In a previous post, I shared thoughts on creating a women’s ministry vision statement.

This is such an important step in planning any project!

This is especially true when mapping out roles for the women’s ministry.

Having a clear overarching vision for the ministry is essential, along with setting definite goals.

The outstanding members of the ministry can help achieve these goals together.

In my experience, I find it is beneficial to clarify the members’ roles based on this vision.

Consider doing this before reaching out for volunteers.

Here is the first step: take a moment to lay down the foundation of the ministry. By foundation, I mean your goals and mission for your women’s ministry.

This approach will give you a solid blueprint for organizing everyone’s roles and responsibilities.

Let me give you an illustration.

Not considering your vision before forming your team is akin to building a house without knowing the types of professionals required.

You must know what type of house you want.

For example, if the house will have solar panels, you will need professionals in that field.

Or, if you plan to have a pool in your fictitious house, you will need pool specialists (or whatever they are called 😊).

Right?

Starting to build your imaginary house without knowing what you need would be inefficient.

If you take the inefficient route, you’ll be scrambling to locate a solar expert and pool man/woman.

All this trouble when you could have already engaged both…had you done the preliminary planning!

Yes, think about your vision and mission.

Then, you will know what talents and skills you need for that vision.

No copying and pasting allowed…

You can find so much information and so many examples on the web. 

It might be easy to simply search for some women’s ministry roles and add them to your planning document.

Finding inspiration is fine – after all, I’m providing you with inspiration and examples.

However, I pray you take the resources I share and customize them for yourself.

Take a moment to really think about what will work best for your unique context.

Next, develop a spiritual and solid leadership Team

With your vision in place, you can begin thinking about the type of team you want and need. 

I’m proud of you for planning for a team! 

So often, in ministry, we try to do it all on our own.

Don’t be a Solo-Leader

You cannot do everything yourself, Christian Woman!

And, even if you can, the ministry effort benefits from the diversity of ideas. 

By the same token, don’t pick just anyone for your women’s ministry leadership team. 

Choose carefully those you appoint to womens ministry roles.

Look for women who align with your vision, possess a generous spirit, and are passionate about serving in women’s ministry. 

Find or Wait for the “Real Deal”

By this subtitle, I mean someone who really is called to women’s ministry.

Some women like to be “seen” or serve in womens ministry roles for selfish reasons. Allow those women to grow a bit more before appointing them to any womens ministry roles.

Pick ladies who are the type to take the initiative to actively engage in the process.

This includes promoting participation (and marketing) in events like retreats. If a woman is passionate about women’s ministry, she’ll promote it whether or not it’s her role to do so.

You also need women who are comfortable working with other women and making women feel comfortable.

Jesus was a CEO!

A book by that name exists. It is called Jesus CEO, and it stands out as one of the best leadership books, in my opinion!

Anyway, Jesus had a leadership structure during His time on earth.

His structure featured one guiding leader (HIM!) supported by a devoted group of followers with diverse strengths and gifts. 

You could mimic such a team.

For instance, consider the following:

You need someone who handles money (but isn’t shady).

You need someone with a bit of “fire” and lots of devotion. 

You need an analytical skeptic who isn’t doubtful and is full of faith. 

You will also benefit from some professional women with specific areas of expertise.

I wouldn’t stress too much over abilities. Women can research, practice, and learn how to fulfill specific roles. But a hard, rebellious heart cannot change overnight.

Look for teachable, eager women.

Let me build upon what I’ve just shared.

Your team should embody women with malleable, servant hearts.

Those are the women you want in the women’s ministry roles.

These women must genuinely care about their responsibilities. They should be passionate about the events that go on your women’s ministry calendar!

Designate Committees & Roles

Once the women’s leadership team is in place, the next step is to create committees and designate roles.

The committee structure should be established based on the needs of your women’s ministry and divided into key areas of leadership, such as marketing, treasury/finance, and any additional areas your ministry work requires. 

I recommend that you invite each new member of the women’s ministry leadership team to serve on one or more committees in the beginning.

This allows you to see who has what gifts. 

I love doing this because this collaborative approach also builds a sense of teamwork. 

After a few months, assign specific womens ministry roles. 

What I often find is that the person who wants to do marketing may not have a knack for it.  She may have zeal, which is okay!  She can still help with marketing and learn. She won’t lead the charge. 

Here are some key roles you want to consider, along with their job descriptions:

1. Job Description for Women’s Ministry Leader

Purpose: To provide leadership and management for women’s ministry and ensure the retention of existing team members. 

Qualifications:

  • Seasoned Christian with proven leadership skills and experience. 
  • Experience in inspiring and motivating a team.
  • Organized, focused, and tenacious

Responsibilities: 

  • Management of the women’s ministry team.
  • Provide leadership to the team, including scheduling meetings and/or other communication to review plans and issues within the women’s ministry.
  • Involve team members in developing and assessing women’s ministry annual plans.
  •  Identify, recruit, and support the development of potential team members, including the communications manager, outreach manager, marketing manager, and ministry treasurer. 
  • Plan and organize meetings/opportunities for ministry volunteers to network and exchange information. 
  • Ensure program goals are scripturally based and reflective of the pastor’s goal for women’s ministry.
  • Handle all tasks related to volunteer management and motivation.
  • Communicate all volunteer processes and standards.

Outreach Manager

Purpose: To provide regular calls or communication for social contact to the women within the church or ministry. 

Qualifications

  • Warmth, patience, understanding, and caring 
  • Reliability and commitment 
  • Enjoy communicating with others
  • Able to establish a relationship with others

Responsibilities:

  • Reach out to women in the church to ensure no one feels isolated. 
  • Recruit other volunteers to help with communications.
  • Create a plan for communication rhythm that ensures contacts are made on a regular basis.
  • Step in and make calls when volunteers are unable to do so.
  • Ensure names are logged on record sheets 
  • Attend all required training, meetings, and information sessions.
  • Report progress during women’s ministry team meetings.

3. Job Description for Women’s Ministry 
Treasurer

Purpose: Maintain accurate financial records of the women’s ministry

Responsibilities:

  • Maintain accurate financial records for the women’s ministry.
  • Open and maintain the ministry’s checking account with at least two required signatures.
  • Present financial reports at women’s ministry leadership meetings. 
  • Issue reimbursements for ministry expenses incurred by staff.
  • Follow through on inquiries in a timely manner.

Lean into Your Strengths to Lead the Ministry and support the womens ministry roles

As a leader in the women’s ministry, it’s important to use your strengths not only to lead your team but also to choose it.

Rest assured! You can do it! The Lord will guide you and direct you!

Regular training and recognition of achievements help foster a positive team spirit.

I have another idea!

Find volunteers who will train or coach members of your team in their areas of responsibility.

Ask around the church for professionals who can train the women for the womens ministry roles.

You might find professionals who will not serve on your committee. However, they may offer a one-hour training for your team member.

Women who work in banking, event planning, or other careers could be great trainers!

Flexibility and adaptability are key to addressing challenges and seizing opportunities. With strategic planning and a collaborative team culture, a womens ministry roles can make a significant impact.

One more thing!

Another thought is to look at where you are weak.

In those areas, be intentional about recruiting people who are strong in the areas in which you are weak.

Beware, when you do, you may find opportunities for conflict in the future.

However, remind yourself why you appointed the person because they are strong and skilled in that area.

Trust them, be careful to take your hands off the wheel, and let them thrive.

Check your ego – or need to control – at the door.

Trust your decision to place the person women in the women’s ministry roles.

Propose Programs and Outreach Opportunities

Turn to the newly appointed women in the women’s ministry positions. Ask them to brainstorm ideas for innovative activities your women’s ministry can do!

Come up with new and creative ways to reach out within your community. Design programs based on the needs of your particular demographic. 

It’s also good to reach out to other churches nearby to establish strategic partnerships and broaden your network.

You may be able to partner with them down the line. This is a great job for your Communications Specialist to tackle. 

Remember, as you build your women’s ministry team, personalities play a strong role in who is naturally good at specific tasks. Read about personality types here.

Be patient with your team and the women in the womens ministry role. 

It may take a moment for them to “gel” and “jive” as a team, which is normal. Allow for healthy conflict and stay out of it as much as possible.

A strong, cohesive team is one that learns how to overcome petty struggles and advance toward solving its own problems.

1. Women’s Ministry Director/Leader

Oversees the entire ministry, sets the vision, plans initiatives, and ensures all activities align with biblical principles and church goals.

2. Assistant Director

Supports the ministry leader, helps with planning, and steps in when the director is unavailable.

3. Prayer Coordinator

Leads prayer efforts, organizes prayer meetings, and ensures prayer is central to all ministry activities.

4. Event Coordinator

Plans, organizes, and executes ministry events, including conferences, retreats, and social gatherings.

5. Bible Study Coordinator

Selects Bible study materials, organizes small groups, and ensures sound biblical teaching.

6. Discipleship & Mentorship Leader

Oversees mentorship programs and pairs women for discipleship, encouraging spiritual growth.

7. Outreach & Missions Coordinator

Plans and organizes community service projects, mission trips, and outreach efforts to serve local and global communities.

8. Hospitality & Welcome Team Leader

Creates a warm and welcoming environment at events, manages greeting teams, refreshments, and decorations.
